What is the Make Up Policy?
Please see the following guidance on providing and billing for make ups:
- You cannot provide a make-up session on the same day as a scheduled session (ABA excluded)
- Changing a scheduled session within the weekly mandate does not equal a cancelled session + a make-up. Instead, reschedule that session for another day, and write it as a regular session note.A make-up session must be conducted within the same authorization window as the cancelled session.
- You must bill the first sessions in each week as a mandated regular session before you can bill a make-up session, regardless of which day you schedule the make-up (e.g., a child has a weekly mandate of 2x30 and your regularly scheduled sessions are held on tues/thurs, and you provide a ‘make up’ on Wednesday, you must bill tues/wed as the regular session, and thurs as the make up.
- You can never make up a session due to a cancellation from a family vacation, per NYC BEI policy.
- You have two weeks (14 days) to provide a make-up.
Session Note Guidelines:
Session notes must be completed for every visit, whether the session was conducted, cancelled, or missed. Each note should include the date of service, the duration of the session, the treatment techniques and activities used, the child’s response to intervention, and any relevant caregiver participation or coaching. Session notes should be completed in a timely manner and accurately reflect what occurred during the visit.
Progress Report Guidelines:
Progress reports are required every six months, in alignment with the child’s IFSP review period. These reports should reflect measurable progress — or lack thereof — toward each of the child’s current IFSP outcomes, and should be written in a family-friendly, strengths-based manner. Progress reports play a key role in determining the child’s continued eligibility and need for services, so accuracy and thoroughness are essential. Your completed progress report should be submitted to our admin team in advance of the IFSP meeting so that it can be shared with the family and Service Coordinator in a timely manner.
IFSP and Service Authorizations
Every child who is eligible for services will receive a service authorization that corresponds with an IFSP meeting date. Service Coordinators are responsible for managing IFSP and Service Authorizations.
Mandated Reporting Guidelines
All employees and contractors are mandated reporters. Should you suspect abuse or neglect, here are the following steps to take:
- Call SCR’s Mandated Report hotline directly at 1-800-635-1522. If an emergency, please call 911.
- By end of day, email adnub@bloomerhealth.com. Describe the incident, including all participants, date and time of the report to SCR.
